Re: Changes to Data Protection Law


You may be aware that from 25th May 2018, the rules around data protection have changed.  The “General Data Protection Regulation” (GDPR) change how we can use your and your child’s personal data and keep it safe, it will also strengthen your rights over your own and your child’s data.  Compliance with the regulations will be an ongoing process, we will be publicising policies and procedures that are compliant with the new regulations and we will keep you informed of developments.  The school have appointed a Data Protection Officer to advise and manage compliance with the regulation.  Full details of our Data Protection Officer can be found on the school website should you have any questions.

The point of the GDPR legislation is to make sure that sensitive or private information about yourself and your children is kept securely.  Whilst it is similar to the current Data Protection Act in many ways, there are a few differences, so we need to make a few changes at the school in order to ensure that we remain compliant.  One of these changes is that we have updated our Privacy Notice, a copy of which is enclosed can be found on our website.

As part of our work to comply with the GDPR, we are also seeking consent for the use of some of your and your child’s personal data.  We have enclosed a link to a consent form in relation to the use of non-statutory data and would appreciate it if you could complete this form by Monday 14th September 2020.  If you would prefer to sign a paper copy, please ask at the main office.  Thank you.

Under the new regulations we have a responsibility to inform you of how your child’s personal data is being processed. Statutory processes are required by the school and by Government and Local Government Regulatory bodies; as such consent is not required in these circumstances. For your information only, below is a list of some of the statutory information the school is required to hold and some of the data processors/third parties we use to facilitate this. It is not an exhaustive list:


Data Processor



SIMS and SIMS Teacher App

Pupil information: Name, Date of Birth, Address, Ethnicity, Dietary and Medical needs.

Parents Emergency Contact Details: Name, Address, Contact Numbers, E-mail


Medical and Care Plans

Details of your child’s medical and care needs are held in their classroom, the nurse’s office and on their main school file.  These plans are taken with your child on trips and outings.



This is an online database used to record safeguarding concerns.


Teachers to Parents

Texting service used only in the event of an emergency to disseminate emergency procedures.


Local Authorities

Information shared with SEN Department and other relevant statutory Local Authority Officers.


Department for Education

A Government Department



Education Regulatory Body



Partner therapeutic and Health Providers to deliver curriculum provision, adhere to safeguarding requirements and fulfil statutory obligations, e.g. EHCP’s.


Welfare Services / Social Care

To fulfil safeguarding requirements under vital interest (see privacy policy).


Support Services

For example, insurance, IT support, information security to enable them to provide the service we have contracted them for.



Images will be used within school for various purposes to support curriculum, health and welfare and safeguarding protocols. These will be restricted to classroom information boards and will be taken off site on outings where required.



There may also be occasions where we ask for additional consent to share data, the following are examples of when this may occur. We will always seek your permission in these circumstances.  This is for information purposes only and is not an exhaustive list.

Data Processor / Process

This is an online Communication App used to share information with parents/carers.  This can include posting content (videos, photos, notes, files, voice recordings) from school to parents – both class curriculum and “Whole School” information announcements. Parents can also post content from home to school too.



DB Primary

DB Primary is our school’s ‘Primary Learning Cloud’. The Primary Learning Cloud is a safe area on the internet for pupils, and members of our school community, to share information and access a wide range of learning resources, anytime, anywhere. DB Primary is specifically designed to improve digital literacy standards for primary school children and support the teaching of online safety. Included are online activities for Maths, English and Computing, along with Forums, Blogs, shared spaces and creative online tools. Children’s first names are only visible on class pages, which are accessed by a personal log in.

Children in EYFS also have their images displayed on Tapestry.  By signing up to the app, you have consented to their images being used.  Please see Miss Corney if you need any further information.
